- A report on the work done related to the sabbatical shall be submitted by the employee to the Dean or Committee, through the Department Head or Dean, no later than three months after the end of the sabbatical leave.

Applications
- In-scope application form
- This package should be submitted to the dean/executive director by November 30 of the academic year preceding the leave (as per Article 21.9 of the Collective Agreement). Once completed and approved by the dean/executive director, the dean/executive director’s office should forward your leave package electronically to the Vice-Provost, Faculty Relations. Their office will notify you once your leave package has been reviewed.
Entitlements For Sabbatical and Administrative Leaves
- Sabbatical expense account (Article 22.13): for expenses incurred during the leave related to the approved sabbatical plan. Several claims may be submitted during the leave; all claims should be submitted no later than three months after the end of the leave. Travel advances are not issued against this fund, although it can be used to pay for a ticket prior to leaving. To be claimed through Concur, the university's travel and expense tool.
- Professional expense account (Article 22.12): the ‘regular’ amount for all faculty is still available during administrative leave; however the additional allowance for department heads (Article 18.8.2) is not. Claims may be submitted through Concur. It is best to use the travel expense account before accessing APEF (unused APEF mounts may be carried forward into the next year, the travel fund does not)
- Sabbatical Leave Research Grants (Articles 21.9 and 20.11): available for administrative leave projects as long as the individual “can reasonably demonstrate to the appropriate research committee that such funds are required for research to be carried out during the [] leave.” Form
- Promotion and Special Increases (Article 18.7.5): anyone on administrative leave is eligible for promotion and special increases while on leave.
Administrative Leaves for Senior Administrators
- Once completed, send the form electronically to the Office of the Provost and Vice-President Academic. Their office will coordinate with the office of the Provost and Vice-President Academic and will reach out once your leave package has been reviewed.
Parental Leave

Applications
- Employees shall be expected to give as much written notice as possible (but not less than four weeks, except in emergency situations) to the Department Head and Dean.

- Once the necessary information has been entered into the online form, you are required to download, print, sign the form, and then submit to your department and/or dean who signs it and forwards to Faculty Relations who ensures the proper approval process is followed.
Leave for Personal Reasons

- Leave with pay for urgent personal reasons (bereavement, family illness, etc.) shall be granted for short periods of time. Before taking such leave, an employee should, if possible, obtain permission from the Department Head or Dean so that arrangements can be made to carry on the employee's duties during the period of absence.
- If advance notice is not feasible, the employee shall notify their Department Head or Dean as soon as practicable.
- Reasonable arrangements should be made to ensure continuity of work during the absence.
- All requests will be handled with discretion, consistency, and respect for confidentiality.
Leave without Pay

Applications
- Applications for leave without pay shall be made no later than six calendar months before the date on which the intended leave is to begin.

- Once the necessary information has been entered into the online form, you are required to download, print, sign the form, and then submit to your department and/or dean who signs it and forwards to Vice-Provost, Faculty Relations. They will ensure the proper approval process is followed.
Educational Leave
